data deletion request
How to ask Pathway to delete personal data we hold about you.
This page explains how to ask VYB Software Limited, trading as Pathway ("Pathway", "we", "us" or "our"), to delete personal data we hold about you.
Use it if you have a Pathway account, if you contacted us through pathway.dental, or if Facebook sent you here after you removed an app and asked for your data to be deleted.
These steps cover personal data for which Pathway is the controller. Where a dental practice uses Pathway to store patient, staff or clinical records, that practice is usually the controller. See Patient, staff and practice records below.
The Pathway app does not include a control that deletes an account. Deletion is requested by email so we can confirm who you are before we remove data.
1. Request deletion of your Pathway account
Pathway accounts are created and signed in with an email address and password at https://app.pathway.dental. A practice may also send you an 8-digit PIN to sign in. The app does not currently offer Facebook as a way to create or sign in to an account.
- Sign in at https://app.pathway.dental/auth/login.
- Open Settings, then Account, then General. You can also go directly to https://app.pathway.dental/settings/account/general.
- Check the name, email address, phone number and country shown on that page. We use those details to find your account.
- Email privacy@pathway.dental from that same email address.
- Use the subject line Data deletion request.
- Include:
- your full name;
- the email address on the Pathway account;
- the phone number on the account, if one is shown;
- a statement that you want your Pathway user account deleted.
If you cannot sign in, email privacy@pathway.dental from the address you want deleted, with the same details. We may ask you to confirm that you control that email address before we delete anything.
On Settings, then Account, then General, you can update your name, email address, phone number, country, profile photo and biography. On Security you can change your password and review trusted devices. Those controls change the account. They do not delete it.
2. If Facebook sent you here
Facebook asks every app to publish instructions for people who remove the app under Settings & privacy, then Settings, then Apps and Websites, and then request that their data be deleted.
If you arrived from that Facebook screen:
- Follow section 1 if you have a Pathway account.
- If you do not have a Pathway account, email privacy@pathway.dental with the subject Data deletion request.
- Include the name and email address on the Facebook account, and any app-scoped user ID or confirmation code Facebook showed you.
We will delete personal data we can match to that request. If we cannot find a matching record, we will tell you.
Removing an app in Facebook does not, by itself, delete data stored in Pathway. The email in section 1 is the request we act on.
3. What we delete
When we accept a request to delete a Pathway user account, we delete, or put beyond normal use, the personal data we hold as controller for that account. That includes:
- name, email address, phone number, country and profile photo;
- the biography and alert preferences stored on the account;
- the password and other sign-in records for that user;
- trusted device records for that user.
Website enquiry details and direct marketing records that we can match to you are deleted in the same way, apart from the limited records in section 4.
4. What we may keep
We may keep some information where the law, a contract or security requires it. The usual periods are in our Privacy Policy. In short:
- contracts, invoices and payment records may be kept for 6 years from the end of the relevant financial year;
- customer support records may be kept for up to 6 years after the issue or relationship ends;
- security logs may be kept for up to 12 months;
- copies in backups are removed on the normal backup cycle, usually within 90 days;
- a limited suppression record may be kept so we do not send you direct marketing after you have asked us to stop.
If we cannot delete part of a request, we will explain why.
5. Patient, staff and practice records
If a dental practice uses Pathway, that practice is usually the controller of the patient, employee and clinical records stored in the platform. Pathway processes those records on the practice's instructions.
To ask for deletion of those records, contact the practice. If you email us and we can identify the practice, we will pass your request to them and help them respond.
Deleting your Pathway user account does not delete patient or practice records that a customer has stored in Pathway.
6. What happens next
We email you to confirm that we have received the request.
We aim to delete the account data in section 3, or put it beyond normal use, within 30 days. Backup copies are then removed during the normal backup cycle, usually within 90 days.
We email you again when the request is complete, or to explain any information we must keep and the reason.
